We are looking for an assertive Executive Assistant to provide administrative support in a well-organized and timely manner. You will work on a one-to-one basis on various tasks related to the executive’s working life and communication. Also, you will work closely with the CEO and have an exceptional opportunity for mentorship through daily one-on-one interaction and coaching.

What you need to bring to the table:
- Ability to communicate exceptionally well in writing, virtually, in person and on the phone
- Ability to process, update, and maintain large amounts of details within our project management tool and CRM
- An assertive nature to clarify objectives and protect company time and resources
- Ability to collaborate with multiple outside constituents (customers, partners, vendors) in planning and executing on timelines and within hard deadlines
Administrative responsibilities include:
- Generating reports and creating agendas for meetings
- Managing, delegating, updating, and overseeing company rocks (to-do-list)
- Overseeing workforce grant administration – submitting paperwork online, retrieving information from clients, handling all paperwork during the training process
- Researching and performing due diligence for best solutions to vendors, products, etc.
- Creating and managing digital tasks and processes
- Managing files in Dropbox and Google Docs
- Serving as a liaison between MindsetGo and company vendors
- Managing and updating the CEO’s calendar and coordinating schedules
- Booking travel for CEO and contract consultants for client meetings and training events
- Managing the onboarding of new employees and contractors
- Coordinating trainer demos and feedback reports
- Hiring and recruiting functions
- Miscellaneous projects
- Updating Hubspot/CRM
Ideal candidates will have the following qualifications and skills:
- 3-5 years of experience in Executive Assistant role
- Minimum Requirement of a bachelor’s degree
- Excellent time-management, planning, and organizational skills (required)
- Outside-the-box problem-solving and critical-thinking skills
- Ability to remain calm and focused in stressful situations
- Excellent written and verbal communication skills
- Fluency with MS Word, Excel, and PowerPoint (required)
